Successful implementation of a Knowledge Management Program requires an enterprise-wide effort using a step-by-step approach in addressing the integration of various technology components that collect, organize, classify, and distribute information.

"Information is power" has become widespread buzz words in the Information Technology industry. A company’s strength lies in its knowledge assets. Strategic use of information systems enable a company to bring information at the right time, and at the right place, throughout the organization.

Knowledge management has been defined in various ways. The overall consensus is that it is a way to manage information and knowledge. Notwithstanding, though document management is an integral part of knowledge management, we’ve identified that knowledge management is all about records control, collaboration and knowledge-sharing.

The approach to implementing a Knowledge Management Program should embrace:

  • Document Management (for all media: paper documents, electronic documents, E-Mail, messaging, scanned images, video, audio, etc.)

  • Records Management (with fully integrated retention and destruction schedules)

  • Data Warehousing (a repository of centralized information)

  • Other internal collaborative applications (such as Office Productivity Suites, inventory, contacts, customers or Human Resource databases, etc.).

It is difficult to see why some industry technology leaders claim to have collaborative knowledge management for the enterprise, yet still lack both a document AND records management infrastructure (and some believe they do, however lack the functionality of unifying a full-featured records management component).
