ERS V: An Integrated SolutionThe future of information management (aka, knowledge management) is
an Information Assets Management system that supports the entire life cycle of all
documents. This information system is Infologics' Electronic Records System (ERS).
From years of designing and installing records management
and document management systems for some of the largest multinational corporations, we
were able to develop and produce microprocessor based software packages geared toward
improving office productivity. The result was our Electronic Records System (ERS)
software.
Infologics' ERS V is an integrated solution that combines
document management, records management, imaging, and office suites with its patented
Uniform Subject Classification (USCS) system into one seamless application
that supports a paperless environment. It services the entire document life cycle,
including Electronic Data Interchange (EDI) transaction sets.
ERS V is implemented using
state-of-the-art client/server technology (Microsoft NT and SQL), making it
easy to use, administer, and maintain. It is, however, our patented Uniform
Subject Classification System (USCS) that makes it possible for anyone
using the system to classify and find documents quickly, easily and, most
importantly, uniformly. The classification module of ERS helps you to
intelligently administer the life-cycle of all records and documents.
Our latest version of ERS has all the robust features of an
active Records Management system, seamlessly integrated with a full featured Document
Management and Document Imaging system. Document metadata contained in the class series is
information about each document controlled by the system. Such information includes the
document's title, author, date written, class, location, etc.
Ways to Measure the Value of ERS
An accurate test of measuring success for an integrated
Document Management system would be to ask the following questions:
- Does it allow us to manage information as an asset?
- Does it enhance the sharing of documents so that many
individuals can use the same information?
- Does it substantially reduce the time required to search and
retrieve documents?
- Does it make knowledge workers more productive?
- Does it allow us to manage information as a liability?
- Does it provide a greater level of security over documents?
- Does it provide a means to implement records retention
policy?
- Does it allow finding documents quickly during a litigation
discovery period?
What
You Can Do With ERS
ERS V provides the tools to organize information according to a uniform classification
system, improve access to information, and ensure compliance with retention requirements.
Some of the tasks you can accomplish with ERS V are:
- Assign records to specific locations.
- Classify documents into groups of similar information (file
series)
- Decide how a record should be stored (electronic, hard copy,
etc.).
- Search for documents relating to a specific subject, date,
range, etc.
- Prevent unauthorized reading of, or writing to official
corporate information.
- Maintain a records retention policy detailing how
information should be stored, where, and for how long.
Broader than a
departmental solution, ERS was developed for "the big picture" with serious
consideration about its long-range maintenance. ERS encompasses the organization as a
whole. It deals with the entire spectrum of information, making it unique in the industry.
The ERS solution controls the rapid growth in creating,
managing, and distributing documents and was designed specifically for a total Information
Assets Management system. To meet legal and administrative requirements, ERS is designed
to track and provide retention management for ALL media. |
